Terms of Service

01 — Agreement

These Terms of Service ("Terms") govern your access to and use of hotdoc — the document-processing API and web application at hotdoc.io and app.hotdoc.io (the "Service"), operated by BRIGHTSOFT, S.L. ("hotdoc," "we," "us"). By creating an account or using the Service you agree to these Terms. If you are using the Service on behalf of an organization, you represent that you are authorized to bind that organization.

02 — The Service

hotdoc provides an API and web application for processing documents — extraction, OCR, and a configurable pipeline. The Service uses AI/OCR providers that you connect with your own keys (BYOK). We may update, improve, or modify features over time; we will not materially reduce core functionality of a paid plan during a billing period without notice.

03 — Accounts

You must provide accurate registration information and keep it current. You are responsible for all activity under your account and for keeping your credentials and API keys secure. You must be at least 16 years old and capable of forming a binding contract. Notify us immediately at hello@hotdoc.io if you suspect unauthorized use of your account or keys.

04 — Acceptable use

You agree not to:

  • use the Service unlawfully, or to process content you have no right to process;
  • attempt to break, overload, reverse-engineer, or circumvent the Service, its rate limits, or its security;
  • resell or provide the Service to third parties except as permitted by your plan;
  • upload malware, or use the Service to infringe intellectual-property or privacy rights.

We may suspend or limit access to protect the Service or other users, or where use violates these Terms.

05 — API keys & BYOK

API keys authenticate your requests; treat them like passwords. You are responsible for requests made with your keys until they are revoked. When you connect your own model/OCR provider keys (BYOK), you are bound by that provider's terms, and you authorize us to transmit document content to that provider at runtime to perform processing. Your BYOK key is accepted on input only, stored only in encrypted form, never returned in responses, and deleted along with the job; we do not mark up provider token costs.

06 — Plans, billing & free tier

The Service offers a free tier (a one-time allowance of processing jobs per account, with no monthly reset), and a paid subscription billed through our payment processor, Stripe. Paid plans renew automatically each billing period until canceled. You can manage, cancel, or update payment details from the billing portal; cancellation takes effect at the end of the current period and API access continues until then. Prices are stated in US dollars and exclude any taxes that may apply. Except where required by law, payments are non-refundable.

07 — Your content & data

You retain all rights to the documents and data you submit ("Your Content"). You grant us only the limited rights needed to operate the Service for you. Files, intermediate data, and results are kept for a limited time and deleted automatically (default: 7 days); see our Privacy Policy. Where Your Content contains personal data, you are the controller and we act as your processor.

08 — Intellectual property

The Service, including its software, design, and trademarks, is owned by BRIGHTSOFT, S.L. and its licensors. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service in accordance with your plan. No rights are granted other than those expressly set out here.

09 — Availability & disclaimers

The Service is provided "as is" and "as available," without warranties of any kind to the maximum extent permitted by law. We do not warrant that the Service will be uninterrupted, error-free, or that processing output will be accurate or fit for a particular purpose. You are responsible for reviewing output before relying on it.

10 — Limitation of liability

To the maximum extent permitted by law, hotdoc will not be liable for indirect, incidental, special, or consequential damages, or for lost profits or data. Our total liability for any claim arising out of the Service will not exceed the amount you paid us for the Service in the three (3) months before the event giving rise to the claim. Nothing in these Terms excludes liability that cannot be excluded under applicable law.

11 — Termination

You may stop using the Service and close your account at any time. We may suspend or terminate access if you materially breach these Terms or use the Service in a way that risks harm to us or others. On termination, your right to use the Service ends; provisions that by their nature should survive (e.g. IP, disclaimers, liability, governing law) will survive.

12 — Changes to these Terms

We may update these Terms from time to time. The current version is always available at hotdoc.io/terms with the last-updated date shown above. Material changes take effect when posted; continued use after that constitutes acceptance.

13 — Governing law

These Terms are governed by the laws of Spain. The courts of Barcelona, Spain, will have jurisdiction, without prejudice to any mandatory consumer-protection rights you may have in your country of residence. Questions: hello@hotdoc.io.
